Applications: The web-based leave application cut away the “kiasuism” of pre-printing the hardcopy forms since it is always there 24/7; and staff are assured that the form posted are of the latest since the onus of new posting now rested on the HR. Upon submission, the approving party just needs to given his/her stamp of approval or rejection through the web; notices of the final decision will be transmitted to the applicants and the HR via emails. Immediately upon approval, the staff’s leave status is updated showing the detailed information such as the number of days of leave the staff have taken and the balance etc. | | | Background Analysis | | Leave Form stockup vs Print on demand | Majority of SMEs still practice the conventional leave application and approval workflow through physical forms. Interestingly, leave forms (along with cash reimbursement forms) are probably the most “stock-up” pre-printed items found in staff’s drawers with a few linger around their homes –just in case. Sadly, many of these printed “stocked up” copies are not put into use with a good number eventually being thrashed into wastebaskets when a new forms are replaced or when the staff leave the employment. This is a resource waste and environmentally incorrect. At the operational level, conventional form filling and approval workflow has another downside of a longer response time of approval and unnecessary associated work involvement in the application cycle. If the applicant’s superior is away from office, the form has to be either sent through email attachment (first, scanned), fax across through facsimile machine or the staff has to make the call to get the verbal approval from the superior who would then confirm his/her decision to HR. Meanwhile, the form is kept aside awaiting the superior’s return for his/her official signature. |
